Exchanging a Vehicle

Exchange Function overview:

  • The Ops user can exchange the customer's current asset for a new one, where the price, duration, and mileage can be adjusted.
  • A new booking request gets created with "_1" at the end.
  • The exchanged booking starts on the end date of the original booking and follows the same approval process.
  • When the customer's first contract ends, they can hand over their car and begin their journey in the new exchanged car on the same date.
  1. Navigate to the Bookings Module and select a booking from the  In Progress tab for which the asset needs to be exchanged.
  2. Click the Actions menu next to the booking and select Exchange from the dropdown
  3. Select the new asset from virtual assets list or search for it using the search bar.
  4. Scroll down to the Select Packages & Extras section and choose the Mileage and Duration for the booking.
    1. Add a promo code or select optional extras, if applicable.
    2. The deposit is typically charged on the first booking, so it is not included by default  during an exchange.
    3. To include the deposit, select the Initial Payment check box.
  5. Scroll down to review the Billing Summary, then click Create Exchange Booking to confirm.

A green toast notification appears at the bottom, confirming the exchange. The Exchange booking details are then displayed on the screen.


Exchange Booking Versioning

When an exchange is created:

  • A new booking request is generated using the original booking ID with, "_1" appended.
  • This new booking appears under the Requested tab.
  • Subsequent exchanges or renewals will follow the same pattern (e.g.,_2, _3, etc.).

This versioning allows Ops teams to:

  • Track all versions of a booking
  • Identify how long a customer has remained on an active subscription, even when vehicles or packages change over time.
