Difference between renewing and extending a booking

As a booking approaches its end date, you may either renew or extend it, depending on whether the booking terms need to change.
- Choose Renewal if you need to create a new booking record with revised terms (such as updated duration or mileage), while continuing with the same physical asset.
- Choose Extension if you only need to push the end date forward without changing pricing, mileage, or other booking terms.
In short:
- Renewal = New booking with updated terms
- Extension = Same booking with an extended end date only
Renewing a Booking
When a booking is renewed, the system creates a new booking request derived from the original booking.
Characteristics of a renewed booking:
- A new booking ID is generated using the original booking ID followed by _1, _2, and so on, indicating that it originates from the initial booking.
- The same physical asset allocated in the original booking is automatically carried forward.
- The physical asset cannot be changed in the Renewal modal.
- Booking terms such as duration and mileage allowance can be modified in the Renewal modal.
- You have the option to trigger a new contract, which will be sent to the customer's inbox once the renewal is confirmed.
- The renewed booking appears directly under the Approved tab, as the physical asset has already been allocated.
- To proceed operationally:
- End the original booking from the In Progress tab.
- Start the renewed booking from the Approved tab.
When to use Renewals?
Renewal is typically used when the customer wishes to continue using the same physical asset but requires revised booking terms (such as updated duration or mileage allowance).
Extending a Booking
When a booking is extended, no new booking is created. Instead, the end date of the existing booking is extended by the required duration (weeks or months).
Characteristics of an Extension
- The same booking ID is retained.
- Only the end date is updated.
- The pricing and mileage terms remain unchanged and cannot be modified.
- The same physical asset continues to be used and cannot be changed in the Extend modal.
- No new contract is generated as part of the extension process.
Once extended, the updated end date is reflected in the original booking record.
