How to View Historical Changes to Assets, Asset Pricing and Bill

In Ops, users can view the history of changes made to Asset details, Asset Pricing, and Bills through the Audit Log.

The Audit Log provides greater transparency and accountability by recording key details about each change, including:

  • Who made the change
  • What action was undertaken for this change
  • When the change was made.
  • The previous value.
  • The new value that replaced it.

This allows users to quickly review historical updates, understand how a record has evolved, and investigate discrepancies without relying on manual comparisons or previous versions of the record.


Understanding the Audit Logs Tab

The tabs within the Audit Logs are generated automatically by the system and are used to group related events and actions performed.

These tabs act as quick filters, allowing Ops users to easily navigate to specific types of activity without having to scroll through the entire audit history. Users can simply select a tab to view the relevant events associated with that category.

In addition, the Date Range filter can be used to narrow down the audit history to a specific period, making it easier to investigate changes made within a particular timeframe.


Asset Audit Logs

The Asset Audit Log provides a complete history of changes made to an asset and its associated records.

Using the Audit Log, Ops users can view:

  • Changes made to asset properties, including asset colours.
  • Changes made to asset documents, such as uploading or replacing a vehicle specification document.
  • Changes made to asset pricing.
  • Changes made to asset-specific extra options and charges.
  • Who made the change.
  • When the change was made.
  • The previous value.
  • The updated value.

The Audit Log provides a clear audit trail, enabling users to quickly understand how an asset has changed over time without having to compare previous versions manually.



Bill Audit Logs

The Bill Audit Logs provides a complete history of actions performed on a bill and its associated records.

Using the Audit Log, Ops users can view:

  • When a bill was manually created, including its line items, quantity, unit price, net total, and gross total.
  • When an invoice was downloaded or emailed to a customer.
  • When the Send Payment Link action was triggered.
  • Details of offline payments recorded against the bill, including the payment amount.
  • When a credit note was issued, including the associated refund details.
  • Who performed each action.
  • When the action was performed.
  • The previous value (where applicable).
  • The updated value.

The Bill Audit Log provides a clear audit trail, enabling Ops users to review billing activity, trace changes, and investigate discrepancies without relying on manual records.
