Adding notes to Invoices

Ops users can add notes while creating a bill to provide additional information for internal teams or customers.

Two types of notes are available, depending on who should be able to view them:

  • Internal – Visible only to Ops users. These notes are displayed under the Notes tab when viewing the bill in Ops and are not visible to customers.
  • Invoice (shown on invoice) – Visible to customers. These notes are included on the generated invoice and can be seen by the customer when they download or receive the invoice.

This feature allows Ops users to maintain internal billing context while also communicating important information directly to customers on their invoices.


Steps to add notes while creating a bill:

  1. Follow the steps in the article How to Create an Immediate Bill/Charge: How to Create an Immediate Bill/Charge
  2. After completing Step 7, where the line items have been added to the bill, navigate to the Notes section.
  3. In Step 8, click + Add Note.
  4. From the Note Type dropdown, select one of the following:
    1. Internal – The note will only be visible to Ops users under the Notes tab when viewing the bill.
    2. Invoice (shown on customer invoice) – The note will be included on the customer's invoice and will be visible when they view or download it.
  5. Enter the note in the text field.
  6. Click + Add Note to save the note.
  7. If you need to remove a saved note before creating the bill, click the Delete (trash) icon next to the note.
  8. Once you have added all required notes, click Create Bill.
