Exchanging a Vehicle

Exchange asset details:

  • Exchange the customer's current asset for a new one, where the price, duration, and mileage can be adjusted.
  • The exchanged booking starts on the end date of the original booking and follows the same approval process.
  • When the customer's first contract ends, they can hand over their car and begin their journey in the new exchanged car on the same date.
  1. Log into the back office, head to the bookings section and click the 'In Progress' tab as seen below:

  1. Pick a booking whose car requires exchanging.


  1. Click the Take Action button and then the Exchange button.

  2. Choose the new asset.

  1. Search for the asset to be exchanged in the search box. Click the "Book" button against the asset

  1. Complete the form and select the package. Add a promo code, if any. The deposit will usually be charged on the first booking, so no deposit is included in an exchange by default. You can choose to include it by clicking the Initial Payment check box.

  1. Click the confirm button.

  1. A new booking request has been created using the existing booking ID with "_1" added at the end. Subsequent exchanges/renewals will have "_2", "_3", etc. This enables you to see all the "versions" of a booking. You can also identify how long a customer has been in an active subscription albeit with different cars and/or packages.

  1. You can click the close button to take this booking to the Requested Tab, which we can approve later.
  2. If you click the Approve Now button, you will be directed to the steps to approve the booking.
