Fleet Module Overview
The Fleet module allows Ops users to manage the physical assets used for bookings and complete the relevant handover processes.
The Fleet functionality works alongside Bookings and Handover to help Ops users assign physical assets to bookings and manage the start and end of a customer's booking.
- Physical Assets
The Physical Assets submodule contains the list of physical assets available in the system.
Ops users can use this to:
- View and search for physical assets.
- Manage physical assets.
- Assign a physical asset to a booking.
- Bookings
The Bookings submodule contains all bookings and their current statuses.
When a booking is approved, the physical asset is assigned to that booking and it's current condition at the time of handover can then be recorded during the relevant On-Hire and Off-Hire processes.
- Handover
The Handover submodule helps Ops users manage the transfer of a vehicle to or from a booking.
A handover is completed when a vehicle is given to a customer or taken back from a customer. The vehicle's condition is recorded as part of the handover.
In the system:
- On-hire means giving a vehicle to a customer for their booking.
- Off-hire means taking the vehicle back from the customer at the end of their booking.
Handover tasks
The Handover submodule includes the following task types:
- Begin Booking
The booking is about to start, so the vehicle needs to be given to the customer (on-hired).
- End Booking
The booking is about to end, so the vehicle needs to be taken back from the customer (off-hired).
- Swap Asset Out
The vehicle currently assigned to the booking needs to be taken back (off-hired) before it is replaced.
- Swap Asset In
The replacement vehicle needs to be given to the customer (on-hired).
Handover submodule only displays handovers for scheduled vehicle swaps. Immediate swaps are not displayed in Handover.
Ops users can use Handover to view vehicles that need to be handed over or collected and track the status of each handover.
Tracking Handover Tasks
The Status column in Handover shows the current progress of a handover task.
When a booking is approved, a Begin Booking handover task is created with the status Placed.
After the vehicle is on-hired and its condition is recorded, the handover task automatically changes to Ended.
The same status flow applies to other Handover task types.
| Status | Meaning |
| Placed | The handover task has been created and is waiting to be completed. |
| Ended | The handover has been completed. |
