Creating a Maintenance Booking

To learn how to create a scheduled maintenance booking, click here

A maintenance booking is not only a booking for cars that need to be repaired or maintained. It is a reservation that can serve multiple purposes depending on the situation. For instance, it can prevent assets from being booked during specific times or events, such as weekends. In other words, it acts as a placeholder that blocks out certain time periods for asset usage.

Here's how to create a maintenance booking:

  1. Go to the Assets Module and click the physical asset toggle to display a list of physical assets. Choose the asset for which you want to create a maintenance booking.

  1. Click on the three-dotted button against the asset to open a dropdown list.

  1. Click Maintenance Booking, which will open a Maintenance Booking Window with the options: Cancel, Create Single Booking, Create Schedule.

Maintenance bookings for assets can be created in two ways.

Firstly, you can create a single maintenance booking for an asset to make it unavailable for a specific duration. Secondly, you can create multiple maintenance bookings by defining a schedule that repeats over time and follows a specific recurrence pattern. In this article, we will guide you through the steps to create both types of maintenance booking.

Single Booking

  1. Click on the Single booking button, leading us to a simple form suggesting the booking's start and end dates. We can add some Booking Notes and Click Create to create this booking.

  1. At the bottom of the screen, we get a notification that the maintenance booking has been created successfully.

  1. To view this maintenance booking, go to the Assets Module, locate the asset against which we have created the maintenance booking, and click the view button.

  1. On the left Panel of the Assets Module, click on the booking History Sub module.

  1. The Asset's Booking History Window opens. Under the All tab, we can see the maintenance booking we created before.

Create a Maintenance Booking Schedule

  1. Click on Create a Schedule if you want recurring Maintenance Bookings. To illustrate this, we will block out all Sundays in March.
  2. Fill out the Maintenance Booking Schedule form:

  1. We have set the start date as the first Sunday at midnight and the end date as the last Sunday of the month, 31st March, at 23:59 am. The Create button activates when filling in the details. Click Create after filling out the details.

  1. The toast notification appears at the bottom of the screen, confirming the creation of a scheduled maintenance booking.

We can check the maintenance booking by going to the Asset's Booking History, as we did for the Single Maintenance Booking.
